Staff Verification Function to be Available Online
HESC is pleased to announce a new online function to allow institutions to manage staff access to HESC systems; a Web-based Staff Verification function will replace the current paper process.
The new function is being made available to both Authorizing Officials and Chief Authorizing Officials via HESCweb Transaction Processing, under General Functions tab. This is the same tab that is used for submitting online Electronic Financial Aid Network (EFAN) applications.
To ensure system security, HESC will request periodic electronic verification of access levels for all staff members using the new function.
Details of the Staff Verification Function
Staff verification requests will be scheduled three times per year.
Chief Authorizing Officials and Authorizing Officials will have the option to recertify, revoke or modify access levels previously granted to staff members.
Verification should be completed at the start of each verification period, but may be deferred until a more convenient time. HESC systems will direct Chief Authorizing Officials and Authorizing Officials to the Staff Verification page at the start of each verification period, and each time they log on until verification has occurred.
In addition to the management of individual staff access to HESC systems that is currently available through the Submit EFAN Application function, institutions may use the Staff Verification function to manage access levels for multiple staff members simultaneously.
The Staff Verification function may be used as often as necessary to manage staff access levels.
EFAN Application Enhancements
Some additional enhancements have been made to HESC’s EFAN application functions:
- The Submit/Revise EFAN Application function has been updated to show all authorization details (role, email, and user accesses). Any changes the user makes on the Authorization page are now visible when they return to the Submit EFAN application page.
- When disabling or revoking an Authorizing Official, HESC will reassign his or her staff to the Chief Authorizing Official unless a new Authorizing Official is designated.
- Within the User Data function, institutions may now add or edit up to two additional telephone number fields within a user’s contact information.
